Stony Brook’s Position Description Ad Request Application

         

    

The Exhibitor Best Solution was awarded to a few companies out of several hundred exhibitors. The GTC Government Advisory Board, which consists of key government executives and technologists, bestows this honor each year on vendors who have developed a cutting edge solution specifically for a customer in the public sector. Best Solutions must result in significant benefits — saved time, money, or headaches — and be worthy of recognition.  KMS has achieved these results.

Overview of the Winning Solution

KMS recently deployed a collaborative workflow solution for the Human Resources organization at the State University of New York at Stony Brook.  The application, PDARs, supports the creation and control of job advertisements with increased accuracy, consistency and efficiency.  The accompanying diagram depicts the solution’s basic workflow. 

PDARs is an application to allow departments to prepare recruiting advertisements and replaces an inefficient system of multipart forms and interoffice mail with a central approval mechanism to allow ready access to current approval status, past requests, or other relevant information.

PDARs remembers details about users and departments, streamlining and improving the accuracy of data entry.  Official position details are imported from PeopleSoft, ensuring that grades and titles are used consistently.  A custom workflow engine routes each advertisement through a secure approval cycle, ensuring that the published ad meets New York’s strict recruiting guidelines.  Approvers can be notified of a pending request via e-mail, or can choose to check the PDARs workflow views regularly and avoid inbox clutter.

Hiring another person for the same position again?  The PDARs Clone feature allows a duplicate request to be created instantly – ready to begin the approval process.  Hiring several people for the same position?  Use the Development feature to get the request approved – then run ads from a pre-approved request.

Administration of the application is flexible and straightforward.  Maintenance of the application configuration and security can be distributed to key groups at a granular level – allowing just as much access as is needed, preventing accidental or malicious damage.  Workflow security can be defined directly in the application, or can leverage any existing LDAP directory to define user permissions.

Human Resource Services at the State University of New York at Stony Brook is receiving more complete, more accurate requests, reducing send-backs, and reducing the frustration departments felt with the recruiting process.
